Position Summary
Duties will include providing clerical, administrative, event planning and employment support for the Human Resources department. This role acts as the first point of contact for the HR department, regularly engaging with incoming students, staff and faculty. Functions as the Employee Transportation Coordinator. This is a full-time, on campus, benefit eligible position (1.0 FTE/40 hours per week).
Essential Functions
Clerical Support
- Assists in responding to incoming inquiries via email, and telephone; prints & distributes correspondence accordingly.
- Processes and distributes department mail.
- Makes copies, scans, & retains documents.
- Partners with Maintenance to manage campus keys.
- Files paperwork in employee records.
- Assembles benefits & new hire packets.
- Maintain forms cabinet and places print orders, as needed.
- Orders office/department supplies.
- Distributes updated Federal and State workplace posters on campus for WA state and multi-state compliance.
- Updates staff and faculty demographic changes, as needed.
Administrative Support
- Manages NU volunteer program.
- Terminate exiting employee files.
- Assists in updating HR Eagle website.
- Employee Transportation Coordinator (ETC):
- Forwards METRO correspondence
- Maintains employee transportation communications
- Conducts biennial CTR Report and CTR survey for King County
- Attends ETC meetings with King County, as necessary
Event Planning
- Assists with coordinating and supporting Open Enrollment, Staff Professional Development/Appreciation Day, Service Award Luncheon, Employee BBQ and other employee appreciation activities/department events.
- Organizes employee wellness initiatives.
- Participates in the planning of CFO team activities.
- May organize other NU campus event initiatives.
Employee Records and Hiring Support
- Assists in creating employment job files and sending regret notices, as needed.
- Assists in creating job postings and notifies churches and NU community, as needed.
- Assists in processing and distributing incoming applications and coordinates with hiring managers during the selection process. (This may include pre-employment checks, reference checks, background screenings, etc.)
- Assists with processing personnel files for all employees (current and former) and enters data in the human resources information system (HRIS).
- Assists with conducting student, staff, and adjunct faculty new hire orientations, as needed.
Campus Store Support
- May support campus store functions such as:
- Facilitating transactions of store merchandise
- Assisting customers
- Maintaining orderliness of store
- Assisting with inventory and store stocking
Other Functions
- Performs other work-related duties and projects, as assigned.
Education/Experience/Skills
- Bachelor’s degree required.
- A minimum of two years’ experience working in a related field.
- Ideal candidate will be outgoing and eager to engage with the NU community.
- Must be able to maintain confidentiality.
- Self-starter – interruptible and flexible.
- Ability to organize, prioritize work, and meet deadlines.
- Excellent verbal, written, analytical, and interpersonal skills.
- Strong attention to detail, organization, and consistent accuracy required.
- Proficiency with Adobe, Microsoft Office 365 (Outlook, SharePoint, Word, Excel, Power Point), and Microsoft Teams.
- Proficiency with or the ability to quickly learn HRIS (preferably ADP), and similar computer applications.
- Demonstrate commitment to maintaining a safe work environment free of harassment, violence, and unlawful discrimination.
- Ability to communicate effectively and get along well with co-workers. Deals effectively and professionally with colleagues.
Working Environment
- Work is generally performed indoors, in a typical office setting.
- Some evening or weekend work may be required.
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for long periods of time.
Physical Demands
The functions are usually performed while sitting, but may involve some amount of time standing, stooping, kneeling, bending, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, performing repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing, and speaking are also required.
Compensation
Based on education and experience, the position has a hiring range of $19.50/hour to $21.00/hour plus excellent benefits.
