Position Summary
Serves in the role of program coordinator and administrative assistant for both the undergraduate and graduate programs of the College of Ministry. This position coordinates schedules and organizational support, oversees all undergraduate and graduate students and faculty records, contributes to coordination of office responsibilities, program advancement, and program assessment, and oversees student workers. Assists the Dean of the College of Ministry (COM) and Chair of the COM Graduate Studies program with communications and record keeping and provides secretarial support to the Dean and the faculty of the College of Ministry. Also consults COEE program coordinator as needed. When needed, hours are flexible based upon the needs of the department.
Essential Functions
Administrative Support and Program Coordination
- Provides all administrative tasks, communications, and record keeping for the College of Ministry.
- Coordinates the schedules for all graduate courses.
- Coordinates course schedule process with Registrar's Office for each term.
- Coordinates advising meetings, independent studies for students.
- Maintains communication with COM graduate students.
- Directs student concerns with student accounts, email, IT, NU programming (Discovery), course registration, financial aid to the appropriate offices.
- Handles and directs phone calls, e-mails and other types of communication to the COM department director and the Dean.
- Schedules appointments and student advising requests with the Dean and graduate department chair.
- Plans social engagements with students, faculty and ministry related events.
- Manages the general office activities of the College of Ministry, traditional and graduate programs, including routine word processing, photocopying, filing, emails, scheduling, record keeping, classroom requests, equipment requests from/for faculty, travel and lodging for adjunct professors, maintaining up to date adjunct lists.
- Facilitates necessary arrangements for class trips both domestic and international.
- Monitors the budget and helps administer the finances.
- Maintains and orders office supplies for the College of Ministry.
- Oversees processing grades for adjunct faculty and provides additional support as needed.
- Supervises the student workers.
- Works with the COM Enrollment Counselor and projects enrollment numbers in each program during the budget process.
Contract Administration/Faculty/Student Support
- Creates contracts and workload planners each semester.
- Works with HR in the processing of all new faculty and adjunct faculty.
- Assists adjunct faculty as needed.
- Tracks and maintains all student grades and probation enforcement in accordance with policies outline in the program catalog, under the direction of the Dean and department chair. Communicates to students with incomplete grades and evaluate GPA.
- Works with the Registrar's office to ensure a successful degree completion.
- Maintain accurate student files.
- Serves as the initial contact person for all students and at times, prospective students.
- Assists Dean with budget projections.
Other Duties
- Other duties as assigned by the COM Dean.
- Performs other work-related duties as assigned.
Education/Experience/Skills
- B.A. degree or above preferred
- Teachable and flexible
- Time management skills
- Capacity to work under timelines with attention to detail
- Self-motivated and able to work with minimal supervision; ability to use initiative; Ability to manage multiple tasks
- Demonstrates a capability to maintain confidentiality
- Successful experience in utilizing general administrative skills and knowledge of office technology (MS Suite and MS Teams), including computer functions and programs
- Possesses excellent problem solving, analytical, communication, and computer skills;
- Demonstrates commitment to maintaining a safe work environment free of harassment, violence and unlawful discrimination
- Proven ability to communicate effectively, get along well with faculty and staff, and deal effectively and professionally with colleagues
Working Environment:
- Work is generally performed indoors in a typical office setting.
- Some weekend/evening work required.
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for long periods of time.
Physical Demands:
The functions are usually performed while seated, but may involve some amount of time, standing, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, perform repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing and speaking are also required.
Compensation
Based on education and experience, the position has a hiring range of $19.50/hour to $20.50/hour plus excellent benefits.
