Position Summary
The NUhope Coordinator is a graduate assistant position responsible for training new therapists on administrative systems, overseeing general operations, and coordinating events like the NUhope Christmas party and the NUhope banquet. Based on education and experience, the position has a hiring range of $17.50/hour to $18.72/hour.
Essential Functions
Tasks Related to Student Therapists
- Attend Group Supervision.
- Update website every year in summer after new therapists have started.
- Check emails from new clients daily. Reply to emails and return voice messages from new clients. Share responsibility with other NUhope staff as appropriate (Assistant,).
- Assist with assignment to therapists in consultation with the Director.
- Maintain NUhope admin email account.
- Update Teams as needed.
- Coordinate assignment of assessments – work closely with assessment lead.
- Manage record requests.
- Work with clinic assistant to train new student therapists on Titanium, billing, scheduling, Teams.
- Review and update Policies & Procedures Manual every year.
Tasks Related to Clinic Functioning
- Work with Clinic Director to interview and hire a NHCA to assist with administrative tasks.
- Take care of P-card (credit card) transaction assignment. This includes maintaining receipts for all expenses.
- Order supplies as needed.
- Attend administrative staff meeting once per week to discuss admin issues that arise and assignment of new clients (includes director, interns, post-docs, NHCA).
Schedule and plan NUhope events
- NUhope Christmas party.
- Plan party games, organized secret Santa, send out invitations to supervisors.
- NUhope banquet in May/June
- Including set-up, refreshments, organization, engaging a speaker, and ordering needed supplies.
- Be sure all auction funds including PunchCard donations are received and accounted for.
Continue efforts to market NUhope to local churches and other potential referral sources.
Performs other work-related duties as assigned
Education/Experience/Skills
- Bachelor’s Degree, preferably in a psychology related field. Enrollment in graduate program in psychology preferred, but not required.
- Experience with Microsoft office including Word, Excel, PowerPoint, and Teams.
- Comfort working as part of a team of people working toward a common goal.
- Demonstrate commitment to maintaining a safe work environment free of harassment, violence, and unlawful discrimination.
- Ability to communicate effectively, get along well with co-workers, and deal effectively and professionally with colleagues.
Working Environment
- Work is hybrid – 2 days a week in person at NUhope and when group supervision is in person.
- Some weekend/evening work required (e.g., NUhope banquet).
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for long periods of time.
- Dress professionally when on site or on Teams or Zoom. This is business casual, no jeans.
- Two weeks off in August when NUhope closed and time off whenever NUhope closed (NUhope is closed whenever Ðǿմ«Ã½ offices are closed).
- Time away must be requested in writing at least 3 weeks in advance and approved by the NUhope Director.
Physical Demands
The functions are usually performed while standing, but may involve some amount of time sitting, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, perform repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing and speaking are also required.
